Role Overview: Employee Engagement Intern

Key Responsibilities

1. Internal Communication Support

  • Content Coordination: Assist in the timely compilation of welcome and vacancy mailers, ensuring that all content is accurate and up-to-date.
  • Mailbox Management: Monitor internal communication mailboxes, managing undelivered emails, and ensuring prompt responses to employee queries.
  • Content Distribution: Ensure effective distribution of internal communication to the relevant audiences once signed off by the management team.
  • Copywriting & Proofreading: Provide support in creating and proofreading copy for various communication platforms such as web, email, and print.
  • Event Reporting: Collaborate with the Employee Engagement team to write news stories, blog posts, and event summaries.
  • Engagement Initiatives: Assist in sourcing and creating original content, such as quotes and multimedia graphics, for engagement campaigns.

2. Event Coordination

  • Venue and Supplier Liaison: Coordinate the logistics of internal events, including booking venues, catering, and liaising with service providers.
  • Event Execution: Provide on-site support during events, ensuring everything runs smoothly, from registration to catering.
  • Event Reporting: Ensure performance metrics of events are collected through surveys, offering insights for future improvements.

3. Stakeholder Engagement

  • Relationship Building: Foster positive relationships with internal and external stakeholders to support communication and event execution.
  • Collaboration: Work closely with other Human Capital team members to ensure seamless integration of communication and employee engagement activities.

4. General Support

  • Activation Support: Assist with on-site activations, including placing posters, desk drops, and distributing campaign collateral.
  • Competition Management: Oversee employee competitions, including acknowledging entries, ordering prizes, and managing the distribution process.
  • Photography & Video Support: Manage monthly photoshoots and video clips, ensuring media is well organised and accessible for future use.

5. Reporting & Data Management

  • Data Tracking: Assist in tracking site traffic (e.g., SharePoint, MS Streams) and collecting data for reporting purposes.
  • Budget Tracking: Report on expenses for each initiative, ensuring that all activities align with the overall budget for employee engagement.

Requirements

To be successful in this role, the ideal candidate should meet the following qualifications:

  • Education: A Diploma or Bachelor’s degree in Communications or a related field.
  • Experience: At least two years of relevant experience in internal communications or a similar role.
  • Copywriting Skills: Experience with copywriting across various platforms will be beneficial.
  • Design Skills: Basic design skills using tools like Adobe Creative Suite are an advantage.
  • Technical Proficiency: Competence in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook) is required.
