To support our expanding projects and operations teams, we’re now looking to bring on an energetic, detail‑oriented Administrative Assistant who will help keep all the moving parts running smoothly.

Key Responsibilities

As the Administrative Assistant at Coltman Code, your duties will include (but not be limited to):

  • Scheduling meetings, preparing agendas, and maintaining calendars
  • Recording, preparing, and distributing meeting minutes; following up on action items
  • Maintaining internal communication with team members about client updates
  • Gathering, compiling, and distributing weekly & monthly client reports
  • Organizing and maintaining project documentation (scopes, contracts, proposals)
  • Assisting with gathering API documentation / research during scoping phases
  • Tracking project deliverables, deadlines, and ensuring follow‑ups
  • Updating / maintaining project management tools (e.g. Trello, Asana, Jira)
  • Assisting in resource allocation tracking across projects
  • Preparing presentations, proposals, and other client‑facing documents
  • Providing ad hoc administrative and operations support to the Project Manager

These tasks ensure that both project teams and operations run without friction, and that clients and internal stakeholders stay informed.

Requirements & Skills

To thrive in this role, you should have:

  • A Matric / Grade 12 Certificate (required)
  • Proficiency in English (written & verbal)
  • Strong organizational and time‑management abilities
  • Basic skills in Microsoft Office (Word, Excel, PowerPoint) or Google Workspace
  • Capacity to juggle multiple tasks and work with minimal supervision
  • A keen eye for detail and a proactive problem‑solving attitude
  • (Advantageous) Familiarity with project management software (Trello, Asana, Jira, etc.)
  • Positive, motivated, eager to learn
