Key Responsibilities

  • Customer Interaction: The role requires regular interaction with customers, both face-to-face and over the phone or electronically. The Collections Clerk/Assistant will assist the Customer Service Clerk in handling customer queries and managing collection schedules.
  • Goods Collection & Dispatch: One of the primary duties involves collecting goods from the appropriate staging areas for dispatch, ensuring that they are correctly loaded and secured for transport.
  • Forklift Operation: The role requires the operation of forklifts and pallet jacks to efficiently move, stack, load, and offload goods. A valid forklift license is highly beneficial for this aspect of the job.
  • Stock Verification: The Collections Clerk/Assistant will check all outgoing goods against dispatch documents to ensure that the correct items are being shipped. Any discrepancies in stock, such as damaged or missing items, must be reported immediately.
  • Documentation & Reporting: Accurate documentation is crucial for this role. The Collections Clerk/Assistant will be responsible for completing collection and dispatch documents and preparing third-party waybills when required. Weekly reports and overdue collection reports will also need to be compiled and checked.
  • Safety & Housekeeping: Ensuring that safety protocols are followed is a priority. The role includes maintaining a clean and safe working environment in the collection areas and loading bays. Proper equipment handling is also essential to minimize risks and accidents.
  • Team Collaboration: Working with the Customer Service Clerk and other team members to ensure that the orders are picked, packed, and ready for collection on time is crucial. This role involves coordinating with drivers and assisting with any delays or collection issues.

Essential Qualifications

To be considered for the role of Collections Clerk/Assistant, the following qualifications and experience are required:

  • Grade 12 (Matric Certificate) is a mandatory requirement.
  • Tertiary qualification is highly beneficial. Candidates with relevant higher education credentials will have an advantage.
  • Experience in customer service: Previous experience in a customer service department (2–3 years) is highly beneficial. The candidate should be customer-focused, with a keen ability to address customer queries and resolve issues promptly.
