Requirements
To be considered, you must have:
- Grade 12 matric and a Secretarial Diploma or equivalent qualification

- At least 3 years’ experience in a similar administrative or secretarial role
- Strong knowledge of local government operations, office governance, document control, and meeting procedures
- Excellent communication skills (written and verbal), organisational skills, ability to multitask, manage time, and work under pressure
Duties and Responsibilities
As the Personal Assistant to the Head of the Human Settlement Department, you’ll:
- Coordinate between council offices, departments, and structures for smooth service delivery
- Ensure all admin tasks meet high-quality standards set by management
- Resolve queries quickly and know when to escalate issues
- Organise your tasks and routines efficiently
- Handle complaints or inquiries directed to the Head of Department and follow up with feedback
- Arrange meetings and workshops—book venues, catering, audio–visual tools, and prepare documents
- Manage the HoD’s office systems and administration for smooth operations
- Handle all incoming and outgoing correspondence using proper registry procedures and file plans
- Draft, format, and send documents, spreadsheets, emails, and routine letters
- Follow policies, standard operating procedures, and maintain office governance standards
- Reflect on your performance and ask for feedback when needed
- Perform any other clerical or secretarial duties as assigned
- Foster excellent customer service and ethical conduct in the workplace
