About the Role

The Receptionist is the first point of contact for visitors, parents, and students at Pinnacle College. This position requires a well-organised, approachable, and detail-oriented individual who can handle a busy front desk environment efficiently. The successful candidate will manage reception duties, coordinate front-office operations, and maintain a professional atmosphere at all times.

Key Responsibilities

1. Campus Reception and Switchboard Duties

  • Manage a professional, neat, and welcoming front office.
  • Greet and direct parents, students, and guests courteously.
  • Operate the switchboard, manage incoming calls, and forward messages promptly.
  • Maintain daily communication with the principal to manage staff availability.
  • Log all incoming calls and ensure service desk standards are met.
  • Support marketing by keeping reception and waiting areas tidy and informative.

2. Visitor Management and Customer Service

  • Welcome and announce visitors professionally.
  • Offer refreshments and ensure all guests are attended to promptly.
  • Handle customer queries within 24 hours and ensure proper resolution.
  • Maintain excellent telephone etiquette and provide accurate information about school services.

3. Reception and Housekeeping

  • Ensure the reception area and surrounding spaces remain clean and clutter-free.
  • Keep brochures and information materials replenished and neatly arranged.

4. Mail Room and Courier Management

  • Sort and distribute mail efficiently.
  • Manage courier deliveries and keep accurate tracking records.
  • Prepare monthly courier and mail reports.

5. Administrative Support

  • Manage the school’s telephone list and boardroom bookings.
  • Assist with teacher timetables, student attendance, and emergency calls.
  • Provide administrative support to principals and deputies for various school functions.
  • Process forms, update databases, and manage stationery supplies.

6. General Campus Assistance

  • Assist with student admissions, tours, and event preparations.
  • Administer basic first aid when required.
  • Support marketing and recruitment activities as needed.

Required Skills and Competencies

Technical Skills

  • Excellent verbal communication and interpersonal skills.
  • Strong organisational and time-management abilities.
  • Proficient in switchboard operations and Microsoft Office (Word, Excel, Access).
  • Basic problem-solving and decision-making capabilities.

Qualifications and Experience

  • Minimum qualification: Matric or equivalent.

  • Knowledge of STASY Student Administration System or similar platforms will be an advantage.
