The Personal Assistant provides high quality secretarial and administrative support to the CTIO. The role underpins smooth operations across the technology portfolio and safeguards compliance with Rand Water processes. Stakeholder engagement involves senior internal teams and external partners.
Key responsibilities
- Provide comprehensive secretarial and administrative support to the CTIO.
- Coordinate meetings, venues, travel, diary management, stationery and reception services.
- Field calls and correspondence, responding where appropriate.
- Manage divisional filing systems and databases for files, reports, transactions and meeting packs.
- Facilitate and collate divisional directives to meet corporate targets.
- Coordinate and track divisional projects and delegated tasks.
- Communicate divisional tasks clearly to the management team.
- Exercise judgement when assigning actions to managers.
- Design insightful systems reports and presentations for new organisational needs.
- Manage the CTIO’s divisional budget.
- Oversee clerical functions for the office.
- Ensure document quality meets Corporate Identity and standards.
- Prepare correspondence, documents, reports and presentations.
- Follow payment and procurement processes across projects led by the CTIO.
- Drive effective planning, reporting, performance information and service delivery.

Minimum requirements
- Diploma or equivalent plus a Secretarial Diploma.
- Ten years’ experience as a personal assistant or administrative secretary to an executive or senior manager.
- Advanced proficiency in Microsoft Word, Excel, PowerPoint and Microsoft Teams.
