Pump and Abrasion Technologies, a leader in the manufacturing sector, is seeking a highly experienced Executive Personal Assistant to support the Managing Director and his Group of Companies. This permanent position, based in Wellington, Western Cape, requires a seasoned professional with proven administrative and financial expertise.

Executive Personal Assistant Key Responsibilities

The Executive PA will play a central role in ensuring the smooth operation of the MD’s office. Responsibilities include:

  • Managing the MD’s diary, meetings, and travel arrangements.
  • Acting as the first point of contact for internal and external stakeholders.
  • Handling sensitive business and personal matters with complete confidentiality.
  • Preparing and reviewing correspondence, reports, and presentations.
  • Checking and processing requisitions, payment packs, and expense claims.
  • Ensuring monthly payment packs are finalised before month-end deadlines.
  • Coordinating special projects and event planning such as corporate braais and golf days.
  • Tracking deadlines, deliverables, and providing executive briefings.
  • Maintaining efficient filing, document control, and accurate record-keeping.
  • Overseeing daily operational tasks, from office supplies to hospitality for client meetings.
  • Compiling management reports and assisting with financial reconciliations.
  • Taking minutes, preparing agendas, and following up on meeting actions.

This role demands efficiency, urgency, and meticulous attention to detail to alleviate the MD’s administrative workload.

Desired Qualifications and Experience

Applicants must meet the following requirements:

  • Location: Must reside in Wellington, Cape Town.
  • Education: Grade 12 or equivalent. A financial qualification with a minimum of 4 years’ bookkeeping experience is essential.
  • Experience: At least 10 years in a similar executive support role.
  • Skills:
    • Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).
    • Strong interpersonal and communication skills.
    • Excellent organisational and time management ability.
    • Proven capability in handling financial reconciliations.
  • Language: Bilingual with Afrikaans as a first language.

The ideal candidate is a self-starter, highly dedicated, and flexible with working hours, including evenings and weekends when required. A respectful, professional demeanour towards senior management is non-negotiable.
