Key Responsibilities of the Secretary (Water Cycle Management)
As the Secretary to the Manager: Water Cycle Management, the successful candidate will take on a variety of administrative tasks that contribute to the overall success of the department. Primary duties include:
- Administrative and Correspondence Management: Handling letters, memos, and other forms of communication as delegated by the Manager. The role also involves following up on outstanding matters to ensure that nothing is overlooked.
- Appointment Scheduling and Meetings Coordination: Organizing meetings, setting up appointments, and coordinating the scheduling of various activities for the Manager and Water Cycle Management team.
- Documentation and Reporting: Assisting in the preparation, drafting, and finalization of documents that require the Manager’s signature. The secretary is also expected to track and ensure the smooth processing of these documents.
- Minute Taking and Filing: Ensuring accurate minute-taking during meetings and maintaining an organized filing system for all records.
- Secretariat and Administrative Support: Providing comprehensive secretariat support to assist with the integration, monitoring, and evaluation functions of Bulk Water Services (BWS).
- Customer Service Support: The Secretary will also act as a liaison between Water Cycle Management and external departments, ensuring all communication is handled professionally and efficiently.
