Job Description

As a Supply Chain Clerk, your responsibilities will include providing clerical and logistical support to ensure the smooth running of the department’s supply chain and procurement processes. The role is designed to enhance your skills in supply chain management, logistics, and public management. Below is an overview of the responsibilities you can expect in this position:

Key Responsibilities

  1. Demand and Acquisition Support:
    • Maintain and update the supplier (including contractors) database.
    • Register new suppliers on the business management system.
    • Request and receive quotations from suppliers.
    • Capture specifications into the electronic purchasing system.
    • Place orders and issue quotations.
  2. Bid Consideration and Contracts Support:
    • Provide secretariat and logistical support during the bid consideration process.
    • Assist in compiling draft documents for contracts.
  3. Logistical Services:
    • Place orders and verify received goods from suppliers.
    • Capture goods into the register database.
    • Process requests for goods from end users and issue goods accordingly.
  4. Stock Management:
    • Conduct spot checks and regular stock counts to ensure accurate inventory.
    • Maintain an organized record and filing system.

Minimum Requirements

  • Grade 12 certificate or equivalent.
  • A National Diploma or Degree in one of the following fields:
    • Supply Chain Management
    • Logistics
    • Public Management
    • A related qualification

Knowledge and Skills

To succeed in this position, the ideal candidate should possess the following knowledge and skills:

  • Basic Supply Management Knowledge: Familiarity with supply management duties and practices, including the ability to capture data.
  • Legislative Knowledge: Understanding of the legislative framework governing Public Services.
  • Asset Management: Knowledge of asset disposal procedures and management.
  • Public Financial Management: Familiarity with the Public Finance Management Act (PFMA), Public Procurement and the Preferential Procurement Framework Act (PPPFA), Treasury Regulations, and the CET Act.
  • Planning and Organizing Skills: Ability to plan and organize work efficiently.
  • Communication Skills: Both verbal and written communication skills are essential.
  • Computer Literacy: Proficiency in using various computer systems and software.
  • Flexibility and Teamwork: Ability to work effectively in a team environment and adapt to changes.
