Key Responsibilities
- Processing Purchase Orders and Journals
You will be responsible for processing purchase orders, journals, and sundry invoicing related to transport costs. This includes sorting out any queries that arise in relation to transport expenses and ensuring that all documentation is accurate and up-to-date. - Expense Reporting
Monthly statement reviews will be a key task, ensuring that all transport-related expenses are recorded accurately and reconciled with the forecast or budget. Weekly and monthly reports will also need to be prepared to track expenses versus budget. - SLA Information and Presentations
You will assist with the preparation of monthly transport Service Level Agreement (SLA) information, creating presentations and compiling minutes of meetings for internal stakeholders. - Supporting the Administration Controller
The role also involves assisting the Administration Controller and Commercial Manager with ad-hoc queries and reporting. You will play a pivotal role in ensuring that all reporting is accurate and delivered on time. - SOP Updates and Auditing
Every three months, you will be required to update Standard Operating Procedures (SOPs) and assist with audit-related tasks. This ensures that the company complies with internal and external regulations.
Requirements for the Administration Clerk Role
AVI Limited is looking for candidates who have the following qualifications and experience:
Essential Qualifications & Skills:
- Matric / Grade 12 qualification – A completed high school certificate is essential.
- Experience – A minimum of three years’ experience in an administration or finance-related role is required.
- SAP Knowledge – You should be proficient in using SAP, particularly in processing requisitions, purchase orders, and goods receipts. This skill is non-negotiable.
- MS Excel Skills – Intermediate-level proficiency in MS Excel is necessary for reporting and data analysis.
- Accounting Knowledge – A basic understanding of accounting principles is crucial for ensuring the accuracy of financial records and transactions.
- MS Office Proficiency – General proficiency in MS Office tools (Word, PowerPoint, etc.) will be beneficial for creating reports and presentations.
Desirable Skills & Qualifications:
- Candidates with further qualifications in accounting or finance may be considered favorably.
