The Postgraduate Funding Office (PGFO) is responsible for managing postgraduate and postdoctoral awards, ensuring that students receive the necessary funding and support to advance their studies and research.

Role Overview

The Administrative Assistant will play a key role in assisting with the management and administration of National Research Foundation (NRF) and Research Awards. The primary focus of this role will be to provide high-level administrative support to ensure that the NRF awards are processed efficiently and that postgraduate students receive the funding they need.

This is a permanent role, with immediate vacancies. The successful candidate will have the opportunity to make a significant impact within UCT’s postgraduate funding department and contribute to the broader academic community.

Key Responsibilities

As an Administrative Assistant in the PGFO, you will be involved in the following key activities:

  • Postgraduate and Awards Administration: Handling various tasks related to NRF and Research awards, ensuring the smooth operation of postgraduate funding processes.
  • Front Desk Administration: Provide support for front-end student enquiries, ensuring all incoming requests are processed efficiently.
  • Client and Stakeholder Liaison: Communicate effectively with clients and stakeholders, particularly with the NRF, to ensure smooth coordination and communication regarding research funding.
  • Support for Online Platforms: Assist with online platforms used for student funding applications and administration.
  • Document Preparation: Help prepare documents for selection committees, funding applications, and reports.
  • Payment Processing: Assist with financial administration, including payment processing and reporting.
  • Data Capture and Management: Maintain accurate records and ensure all student funding data is captured into appropriate systems.
  • Reporting and Archiving: Prepare reports, handle progress reviews, renewals, and support in maintaining annual records.

Requirements

To be eligible for the Administrative Assistant position, candidates should meet the following qualifications and experience:

  • Matric with 4 years’ experience or a post-matric qualification with 3 years’ relevant experience in a university postgraduate funding or research council environment.
  • Experience with online student funding platforms.
  • Proven organizational skills and ability to multi-task in a fast-paced, high-pressure environment.
  • Excellent interpersonal skills, with the ability to communicate effectively with students, staff, and stakeholders.
  • Strong proficiency in Microsoft Office Suite and database management.
  • Ability to maintain confidentiality and a high level of honesty when dealing with finances.
  • Ability to meet deadlines, stay organized, and keep meticulous attention to detail.

Desirable Skills

The following additional skills and experience will be advantageous:

  • Experience working in a postgraduate funding environment.
  • Familiarity with UCT’s policies and procedures.
  • Experience with PeopleSoft or similar student administration systems.
  • Familiarity with NRF online systems or other similar funding platforms.

Salary and Benefits
