Job Summary

The Office Assistant will be reporting directly to the Manager of Panfontein and will be responsible for offering comprehensive administrative support. This includes a wide range of tasks, from managing staff-related paperwork to overseeing the scheduling and maintenance of vehicles and equipment. The role requires high attention to detail, excellent communication skills, and proficiency in various office administration software.

In addition, the Office Assistant will handle trip sheets, vehicle bookings, service scheduling, loan vehicles, and other administrative duties crucial for ensuring a smooth operation at the site. By assisting in both office management and administrative tasks, this role is designed to provide the necessary support for the Bulk Water Services – Operations division to function at its best.

Minimum Requirements

  • Grade 12: A high school diploma is the minimum educational qualification required.
  • Experience: At least 2 years of experience in an administration or secretarial role is required.
  • National Certificate in Office Administration: A qualification in office administration is essential to ensure candidates have the required administrative skills.
  • Desired Qualification: A National Diploma in office administration will be advantageous but not mandatory.

  • Driving License: A Code 8 driver’s license is mandatory, as the role may require driving for various duties.
  • Report Writing: Strong typing and report writing skills are important for this position, as much of the role revolves around creating documents, maintaining spreadsheets, and preparing reports.

Primary Duties and Responsibilities

As the Office Assistant, the individual will be tasked with a variety of critical administrative duties that support the overall operations of the Panfontein site. Key responsibilities include:

Administrative Support to the Site

The Office Assistant will be responsible for overseeing the administrative functions at the Panfontein site. This includes all staff-related paperwork, managing the schedules, and ensuring that operational systems are running efficiently. The role includes handling vehicle-related duties such as:

  • Trip sheets
  • Service bookings
  • Loan vehicle management

Coordination and Scheduling

A key part of the position is managing the schedules of various team members and assisting with organizing meetings and travel arrangements. The Office Assistant will need to ensure that all correspondence is appropriately handled, and the office runs smoothly. This will involve managing calendars and ensuring that the manager’s time is well-utilized. Generating Work Orders and Tracking Timelines

The Office Assistant will assist in generating work orders using the Maximo system. Additionally, they will create spreadsheets to track these work orders, ensuring that deadlines and submission timelines are adhered to. This requires excellent organizational skills and the ability to manage several tasks at once.

SAP Reservations and Requisitions

Another key duty involves creating SAP reservations and requisitions, which is critical for the proper functioning of operations. The role requires a high level of competency in SAP to ensure accurate and timely processing of these requests.

Staff Documentation

The Office Assistant will be responsible for submitting various staff-related forms, including time sheets, travel claims, and other necessary documents. Ensuring that these documents are submitted accurately to the relevant departments is vital for smooth operations.

Invoice Management

The assistant will also be required to ensure that invoices received from suppliers or service providers are signed off before being sent to the financial department for payment. This ensures that the financial process remains on track and compliant with company procedures.

Receptionist and Noticeboard Duties

Occasionally, the Office Assistant may be required to perform receptionist duties to assist with visitors or inquiries. Additionally, they will be responsible for keeping noticeboards up to date with important information and announcements for the team.
