Sales Administration Assistant Job Description

Purpose:
The core objective of the Sales Administration Assistant is to streamline the flow of sales data and administrative tasks to optimise profitability. This includes receiving and coordinating all local retail orders, managing pricing accuracy, and supporting sales review processes.

Key Performance Areas:

  • Data Collection & Processing: Consolidate stock data, generate monthly sales review reports, and collect insights from key retailers like Shoprite BTB, Spar, and Pick n Pay portals.
  • Order & Pricing Management: Manage Vector orders, perform price checking on EDI and PnP portals, submit pricing data to Vector, and summarise deal sheets for Inland and national customers.
  • Administration: Investigate claim-back data discrepancies, record sales-related expenditure, consolidate price survey data, and assist in sales and retail review meeting preparations.
  • Secretarial Support: Draft and distribute retailer communications such as price increase letters, capture and submit pricing updates accurately, and maintain ongoing stakeholder communication.

Roles and Responsibilities

  • Provide efficient administrative support to the Customer Manager and Retail team.
  • Coordinate all local retail orders nationally, ensuring accuracy and timeliness.
  • Prepare and consolidate data for monthly sales and retail reports.
  • Monitor pricing deals, check accuracy, and manage submissions on various platforms.
  • Investigate and resolve discrepancies in claim-back data.
  • Support sales meetings through preparation and communication alignment.
  • Maintain strong communication lines with stakeholders and retailers.
  • Manage and submit pricing updates and sales correspondence professionally.

Requirements

Qualifications:

  • BCom or B-Tech Degree in Finance, Management, or IT (preferred but not mandatory).

Experience & Skills:

  • Associate-level experience in sales administration or a related field.
  • Strong proficiency in MS Office, especially Excel and PowerPoint.
  • Excellent numeracy and analytical skills.
  • Sound administrative and organisational skills.
  • Strong verbal and written communication capabilities.
  • Good decision-making and conflict management skills.
  • Ability to work independently and as part of a team.
  • Customer-centric mindset with attention to detail.
