Key Responsibilities

As a Teaching and Learning Assistant, you will be expected to perform the following duties:

1. Administration (50%)

  • Manage and file lecturer/student consultation records.
  • Assist with the peer review documentation and administrative duties.
  • Support lecturers by distributing resources such as lecturer handbooks, notebooks, access tags, and stationery.
  • Order stationery for lecturers and ensure timetables are captured accurately.
  • Compile and coordinate assignment due dates with the Programme Coordinator and Operations team.
  • Manage feedback forms and registers for Lecturer/Student Orientation and other support workshops.
  • Set agendas and take minutes at academic meetings, including the Academic Committee Meeting.

2. Event Management (10%)

  • Coordinate events such as lecturer and student orientations, campus visits, awards ceremonies, and other Teaching and Learning events.
  • Assist with venue bookings and the scheduling of booster sessions or catch-up classes.
  • Manage RSVP lists for academic events like graduations, ensuring lecturers have the necessary regalia and seating arrangements.

3. Data Handling (20%)

  • Maintain and update academic trackers, including student intervention trackers, research trackers, lecturer development trackers, and internal moderation trackers.
  • Assist with data input for reports, ensuring that student and lecturer information is accurately captured and up-to-date.

4. IC Administration (15%)

  • Handle the printing of claims and manage lecturer availability for timetabling.
  • Issue timetables to lecturers once available.
  • Maintain lecturer profiles on the Academic Profile System (APS), including uploading qualifications and IDs.

5. Management of Teaching and Learning Resources (5%)

  • Ensure that learning venues are adequately prepared (whiteboards, projectors, air conditioning, etc.).
  • Check that the venue size is appropriate for the scheduled number of attendees.

To excel in this role, the ideal candidate should possess the following skills and competencies:

  • Attention to detail: Ensure accuracy in all tasks and data handling.
  • Time management: Effectively manage multiple tasks and deadlines.
  • Problem-solving: Ability to find solutions to any issues that may arise.
  • Interpersonal skills: Strong communication and collaboration with students, lecturers, and staff.
  • Organizational skills: Strong administrative skills to handle multiple tasks simultaneously.
  • Proactive attitude: Take initiative in ensuring the smooth operation of tasks and events.

Requirements:

Minimum Qualifications:

  • 3-year Diploma in a relevant field.

Ideal Qualifications:

  • A Degree or a qualification in Education would be advantageous.

Experience:

  • 2-3 years in a Senior Administration or similar role.
  • 2-3 years of experience in tutoring or clerical roles in educational institutions.
  • 2-3 years in data capture and handling.

Legal Requirements:

  • No criminal record.

Skills Required:

  • Proficiency in MS Office, especially Excel (intermediate to advanced).
  • Strong data handling and organizational skills.
