Key Responsibilities of the Admin Officer

As an Admin Officer, the selected candidate will be responsible for managing and overseeing the application process for Operating Licenses. They will play an integral role in ensuring the smooth and efficient processing of public transport applications, from the moment they are received to their final distribution.

Primary Duties Include:

  • Account Management: Ensure all applications received from processing and cashier streams are accounted for.
  • Verification: Confirm that all necessary documents are attached and that the application forms are properly filled out. Additionally, verify applicant data and ensure the validity of vehicle documents.
  • Tracking and Printing: Track processed applications and print Operating Licenses once all necessary checks have been completed.
  • National Land Transport Information System (NLTIS) Coordination: Log calls with NLTIS for both Minibus Taxi and Non-Minibus Taxi applications to adjust capacity before issuing permits.
  • Customer Communication: Provide feedback to applicants on their application statuses through the SMS system and assist with collections by notifying them when documents are ready for pickup.
  • Portfolio Management: Consolidate and maintain the monthly portfolio of evidence (POE) for signed copies of permits and operating licenses.
  • Human Resource Management: Oversee and manage staff within the unit, ensuring smooth operations and compiling relevant reports.

This role requires an individual with a keen eye for detail and the ability to handle multiple tasks efficiently while maintaining a high level of customer service.

Requirements for the Role

To qualify for this position, applicants must meet the following educational and experience criteria:

  • Educational Qualifications:
    • NQF level 6/7 qualification in Public Administration, Administration Management, or Transport Management.
  • Experience:
    • A minimum of 1-2 years of experience in a Public Transport management environment.
  • Skills and Knowledge:
    • In-depth knowledge of GPG and GPDRT policies and procedures, relevant legislation, and Public Service Regulations.
    • Understanding of customer expectations, SLAs, and effective customer management.
    • Proficiency in problem-solving, analytical thinking, negotiation, and communication.
    • Strong awareness of diversity in the workplace and the ability to innovate and continuously improve work processes.
