Key Responsibilities

The Personal Assistant will provide essential secretarial and administrative support to the Chief Financial Officer (CFO) and senior managers within the office. This includes, but is not limited to:

  • Answering telephone calls and handling the CFO’s diary.
  • Typing letters, memorandums, presentations, and other documents.
  • Organizing and managing travel arrangements for meetings and events, including coordinating bookings and preparing necessary travel documentation.
  • Taking minutes during meetings and ensuring effective communication and documentation flow.
  • Developing and maintaining an accessible, user-friendly electronic filing system.
  • Responding to internal and external enquiries efficiently and professionally.
  • Managing the office’s procurement needs, such as stationery and refreshments, to ensure smooth office operations.

Requirements

To qualify for this position, applicants must meet the following criteria:

  1. Educational Qualifications:
    • A National Diploma (NQF Level 6) in Secretarial or Office Management is required.
  2. Experience:
    • A minimum of 3 years of experience in providing administrative support at a senior management level.
  3. Skills and Competencies:
    • Strong communication skills, both written and verbal.
    • Excellent organizational and telephone etiquette.
    • Ability to work independently and act with professionalism, reliability, and credibility.
    • Good people skills and the ability to communicate effectively with individuals from diverse backgrounds.
    • Demonstrable experience in research, document analysis, and preparation.
    • A valid driver’s license.
  4. Knowledge:
    • Basic understanding of public sector policies, legislation, and financial administration.
    • General computer literacy and proficiency in Microsoft Office applications.
