Job Purpose

The Personal Assistant will be responsible for rendering secretarial and administrative support to senior management within the Western Cape Department of Local Government. The position is based in Cape Town and offers a permanent employment opportunity.

As the Personal Assistant, you will be tasked with helping to coordinate day-to-day activities, assist with financial matters, and provide logistical support to the Directorate.

Key Responsibilities

As a Personal Assistant to the Municipal Governance team, your responsibilities will include:

  1. Secretarial and Receptionist Support:
    • Handle calls, emails, and other correspondence.
    • Manage the senior manager’s calendar and schedule meetings.
    • Prepare reports, presentations, and other documents as required.
  2. Administrative Support:
    • Support the manager with general office duties, ensuring all administrative tasks are carried out smoothly.

  3. Logistical and Financial Support:

    • Assist with budget preparations, expenditure, and other financial record-keeping tasks.
  4. Policy and Document Compliance:
    • Study and apply relevant Public Service and Departmental policies.
    • Ensure all relevant documents are filed, stored, and managed according to the department’s requirements.
  5. General Support to the Directorate:
    • Provide day-to-day administrative support to the directorate, ensuring smooth operations of projects and activities.

Minimum Requirements

To be considered for the position of Personal Assistant: Municipal Governance, you must meet the following minimum qualifications and experience:

  • Education:
    • Grade 12 (Senior Certificate or equivalent qualification).
    • An accredited secretarial diploma or administrative qualification at NQF level 5 or a relevant higher tertiary qualification.
  • Experience:
    • A minimum of 3 years of experience in providing administrative or secretarial support to senior management.
