Free payslip template for South African employers

A free payslip template for South Africa, filled in for you. Enter a salary and the calculator works out the PAYE, the UIF and the net pay, and shows what the hire really costs you, all on your phone in a minute.

How is the pay set?

The full pay before PAYE and UIF come off.

The rate per hour before deductions.

Only used to check the pay against the minimum wage. Leave it blank and we assume a full week.

The ordinary hours this person works in a week.

We show the payslip for one pay run, and the cost per month.

Tax rebates change at 65 and at 75, so this changes the PAYE.

Count the employee and anyone on their medical aid with them. It gives a tax credit. Leave at zero if they have none.

If they pay to a pension, provident or retirement annuity fund through you, put the percent. It lowers the PAYE. Leave at zero if none.

Does your total payroll run over R500,000 a year?

If it does, you pay the Skills Development Levy. Most small employers do not. We use this only in your cost, never in the payslip.

The law sets a yearly minimum of paid annual leave; put what you give. We use it to work out what leave and public holidays add to the cost.

Add the particulars the law lists (optional)

Fill these in and they print on the PDF, the particulars a payslip lists under the law. Version 1 keeps the heading as an estimate, because the figures are a guide.

Questions employers ask

Is this payslip official?

It is a payslip estimate, an accurate guide built on the current SARS tax tables. You can add the employee's name, occupation, the pay period, your details and each deduction, which prints the particulars the law lists on a payslip under the Basic Conditions of Employment Act. Version 1 keeps the heading as an estimate, because the figures are a guide. It is not a tax certificate or the IRP5 you give at year end. For a formal payroll with SARS submissions, use registered payroll software or a payroll service.

How is PAYE worked out?

We use the SARS tax tables for the current tax year, the same engine as our job seeker tax calculator, and apply the rebates for the age you chose, the medical aid tax credit, and any retirement contribution. Change any of those and the PAYE changes with it.

What is cost to company, and why is it more than the salary?

Cost to company is what the hire actually costs you, not just the salary. Your monthly cost is the gross pay plus the employer's share of UIF, plus the Skills Development Levy if your payroll is large enough. Separately, because the person is paid for leave and public holidays as well, we show the cost per day they actually work, which is a little more than the daily salary. Both help you budget the real figure.

Do you store what I enter?

Only for ten minutes, so your download works. We work it out on our server and show it on screen. When you download the PDF, we hold what you entered for ten minutes so the download link works, even if your phone needs a couple of tries, and then we delete it. The PDF is handed to you, not kept, nothing goes to anyone else, and we ask for no account and hold no profile of you.
