About the Role

As the Reception & Office Support Administrator, you will be the first point of contact for clients visiting the office while also providing administrative support to ensure the smooth day-to-day running of the business.

This position offers excellent exposure to office administration, customer service, scheduling, facilities management, and employee onboarding.

Key Responsibilities

Your daily duties will include:

Reception & Front Office

  • Welcome clients and visitors professionally.
  • Answer and direct incoming telephone calls.
  • Manage the general office email inbox.
  • Open and close the office each day.
  • Ensure the reception area remains clean and welcoming.
  • Assist visitors with enquiries.

Office Administration

You will also:

  • Manage attendance registers and key control.
  • Maintain management and PA calendars.
  • Schedule appointments and meetings.
  • Coordinate boardroom bookings.
  • Prepare meeting agendas and minutes.
  • Print office documentation.
  • Prepare administrative correspondence.
  • Manage expired mandates and filing.

Office Support

Responsibilities include:

  • Ordering stationery and office supplies.
  • Monitoring printer usage and paper supplies.
  • Assisting with basic printer troubleshooting.
  • Coordinating office maintenance requests.
  • Managing office stock.
  • Maintaining office facilities and general housekeeping.

New Employee Support

You’ll assist with onboarding by helping to:

  • Set up email accounts.
  • Configure laptops and office systems.
  • Connect printers.
  • Update telephone directories.
  • Assist with user access and system setup.
  • Maintain company contact lists.

Minimum Requirements

To qualify, you should have:

  • Grade 12 (Matric).
  • 1–2 years’ reception or office administration experience (advantageous).
  • Good knowledge of Microsoft Office (Word, Excel and Outlook).
  • Excellent communication skills in English and Afrikaans.
  • Strong organisational and time management skills.
  • Professional telephone etiquette.
  • Good customer service skills.
  • Ability to multitask in a busy office.
  • High attention to detail.
  • A valid driver’s licence (advantageous).

Previous experience in the property or real estate industry will be an added advantage but is not essential.
